This is a part time position (26 hours a week to start) that can quickly grow to 40 hours a week.

What You’ll Be Doing and Will Be Responsible For:

We are looking for an experienced intake specialist who can provide administrative support to help our office continue to grow!

As an Intake Specialist, you will be spending plenty of time on the phone talking with new potential clients and current clients. This is not a receptionist position where you answer the phone and pass calls to someone else. At our Firm, you will be expected to answer incoming calls with potential clients. Then, you’ll use our intake scripts, have a conversation with the caller or our client to build a relationship, collect information and help potential clients decide whether we are the right law firm for them. You’ll input information into CRM and CMS software.

As an Administrative Assistant, you’ll jump in to help with a variety of tasks. Because we are a small law firm, you’ll be wearing multiple hats sometimes. Besides the usual administrative tasks of helping with paperwork and keeping the office organized, you’ll be helping our office manager implement various marketing ideas, you’ll learn about business and law, and you’ll interact with our clients and other service professionals.

With your friendly and outgoing personality, you will be responsible for communicating consistently and regularly with clients regarding the status of their cases as well as coordinating and collecting needed information and items from them.

You need to be detail oriented and willing to go the extra mile to get the job done right. At our Firm, getting things done right the first time for our clients is very important and we need everyone to work with this goal in mind so we can deliver a great experience to our clients every time.

This is a fast paced, process based, high stress, environment. You must be able to work well under pressure. If you’re not good at thinking on your feet, this is not the right job for you.

Minimum Requirements:

• 3+ years of recent professional services office experience required (legal experience
preferred)
• 3+ years of recent intake experience, answering phones, and using scripts
• 50+ wpm typing speed
• Excellent multi-tasking skills
• Excellent organizational skills and prioritization skills
• Clear communication skills, both written and verbal
• Proficient in Word and Excel
• Comfortable with various office equipment: computers, printers, scanners
• Comfortable with online software, CRM and CMS, and data entry
• Good listener and able to retain and recall information
• Strong critical thinking skills and problem-solving abilities
• Curious and interested in learning and applying your knowledge
• Self-starter that takes initiative to get things done
