The Community Colleges of Spokane is seeking a highly motivated and qualified individual for the position of Office Assistant 3 in the Corrections Education Division of Spokane Community College.

This position is located and works at Airway Heights Correction Center.

Under general supervision perform a variety of challenging clerical assignments using knowledge and experience specific to the program at Airway Heights Corrections Center. This is an opportunity to provide assistance in a program that supports education of incarcerated individuals to enhance re-entry and employment opportunities. You will assist others in a dynamic and challenging environment utilizing your skills to provide a second chance for incarcerated individuals applying independent judgment in interpreting and applying rules and regulations, developing and maintaining computer databases, establishing and maintaining filing systems, composing correspondence, and receptionist duties.



  • Review college applications/registrations and WABERS+ intake forms for credit and non-credit classes for input into SCC's student management system (PeopleSoft).This includes using the Offender Management Network Information (OMNI) and the education department ACCESS database to verify offender information. *
  • Collect data from the Washington Adult Basic Education Reporting System (WABERS+) and OMNI to prepare new offender files for distribution to the instructors. *
  • Manage incarcerated student files for either in-house or off-site transferred students. *
  • Upload and manage incarcerated student demographic information using WABERS+ Intake Form. *
  • Collect data from E-CASAS test server and import into both TOPSPRO and WABERS+. *
  • Manage reports and incarcerated student enrollment for goals for adult education programs in WABERS+. *
  • Manage E-CASAS pre and post-tests by reviewing WABERS+ reports, and notifying the instructors of incarcerated students who need CASAS testing. *
  • Prepare documents and schedule weekly GED testing using the GED Manager, PearsonVue Testing Service, and the OMNI Callout System. This includes: create Excel spreadsheets to document incarcerated students who are testing and distribute test scores as they are received; enter student demographics into GED Manager; schedule tests using PearsonVue Testing Services; and notify and inform the GED Proctor of any changes or special needs of students who are testing. *
  • Routinely add/edit/delete incarcerated students in the OMNI callout system. *
  • Approve education referrals in OMNI. *
  • Enter referrals and program conflicts into the education ACCESS database. *
  • Collect data from the education database to document which students are eligible for entry into a specified class. This includes: export an Excel spreadsheet to determine the time the class should be in session, choose which students best suit the time frame of the class period, manipulate the education database to reflect which students have been chosen for the class, and enter the students into OMNI. *
  • Provide technical support between our center and PearsonVue/GED Manager Services. *
  • Document Offender Program Participation using OMNI Report System. *
  • Present education programs at new incarcerated student orientation. *
  • Maintain manual and electronic filing systems. Generate reports as required. *
  • Archive student applications/registrations at the end of each quarter. *
  • Create and print class callouts for offender accountability when necessary. *
  • Assist in creating classes in PeopleSoft when necessary. *
  • Support and advance the CCS strategic plan, and perform other duties as assigned. *

  • Must be able to complete a 6 week DOC CORE training program which includes self-defensive techniques. This training may require being away from the local area and overnight stay.
  • Ability to work in a correctional setting, which includes being searched prior to entering the facility and complying with bringing in limited personal belongings.
  • Knowledge of computers and basic office programs.
  • Acceptance of the responsibility to promote the welfare and best interests of students at all times.

  • Ability to use DOC, OMNI, WABERS+, and Microsoft Applications.
  • Knowledge of GED Manager and PearsonVue Testing Services.
  • Two years of increasingly responsible clerical experience.


Total compensation is an estimate based upon base compensation, current employer-paid health and related benefit contribution rates and median retirement fund contributions. The actual total will vary depending upon each employee's enrollment choices.

Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment.
