The Community Colleges of Spokane is seeking a highly motivated and qualified individual for the position of Office Assistant 3 in the Human Resources Office.

GENERAL DEFINITION
Under general supervision this position will perform office clerical assignments for the employment services group of the Human Resources Office. This position will support the essential functions of leave administration, labor relations/classifications, recruitment, and training and development; and assist with special projects as assigned. This position will also provide general front desk/reception coverage as assigned/scheduled.

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

 

  • Provide clerical support for employment services within the Human Resources Office. Maintain the CCS training calendar and schedule rooms for various training events. *
  • Provide general front desk/reception coverage as assigned/scheduled. *
  • Maintain employment files and electronic records. *
  • Prepare employee files for various employment situations. *
  • Perform tasks using PeopleSoft software applications. *
  • Input information into various databases e.g. Excel and Access. Generate reports and correspondence as requested. *
  • Establish and prepare new files/categories within established filing systems (paper and electronic). *
  • Participate in staff meetings. *
  • Support and advance the CCS strategic plan, and perform other duties as assigned. *

PREFERRED COMPETENCIES (DESIRED QUALIFICATIONS)

 

 

  • Associate degree from an accredited institution.
  • Experience with Student Management Systems (PeopleSoft).
  • Experience with Microsoft Office software programs.
  • One year of related experience or education in performing clerical duties.

 


CONDITIONS/TERMS OF EMPLOYMENT:
* TOTAL COMPENSATION: $46,667.
Total compensation is an estimate based upon base compensation, current employer-paid health and related benefit contribution rates and median retirement fund contributions. The actual total will vary depending upon each employee's enrollment choices.

Person hired must be able to provide acceptable documentation of U.S. Citizenship or lawful authorization to work in the United States. This is an absolute condition of employment. An offer of employment will not carry with it any responsibility or obligation on the part of the District to sponsor an H1-B visa. In addition, the Community Colleges of Spokane maintains a drug-free work environment and prohibits all smoking in the college buildings and state-owned vehicles. Must be able to successfully work in and promote a multicultural work and education environment. Prior to a new hire, a background check including criminal record history will be conducted. PHYSICAL REQUIREMENTS

 

 

  • Work is performed in a normal, temperature controlled office environment.
  • Work is sedentary in nature.
  • Frequent use of computer and exposure to terminal screens.
  • Visual focus and strain.
  • Frequent oral and auditory communication with others.
  • Work directly with staff/students.
  • Work involves constant interruptions and requirement to answer on demand questions by phone, in person, or electronically.
  • Work in a semi-open office setting with frequent interruptions and background noise.
  • Move up to 25 lbs. occasionally.

 


CONDITIONS OF EMPLOYMENT

 

 

  • Full-time schedule (12-month, 40-hours a week).
  • 6-month probationary period; may be extended to 12 months.
  • This position is overtime eligible.
  • Criminal background check required.
